How To Manage Skype for Business Delegate?
Today I’m going to show you how to manage Skype for business delegate. Of course, Microsoft Teams is a new collaboration to manage meetings but still some users prefer to use Skype for Business to manage invites, meetings and appointments from their manager’s calendars.
Important
- You may grant another user access to schedule Skype Meetings on your behalf. This is called granting delegate access.
- The delegator (Executive/Manager):Must have configured their mail profile in Outlook. If more than one account is configured in Outlook, the delegator’s account must be set as the default.Only manage delegations using your Windows PC.
- The Skype for Business client must connect to Outlook (through MAPI) to read the delegate settings. Both Outlook and Skype for Business clients must be running at the same time otherwise the delegation permission will not correctly sync to Skype for Business.
- If there is an issue with the delegate scheduling a Skype Meeting on behalf of the executive, it is advised for the executive to remove the delegate (both from Outlook and Skype (Ref. Remove Delegate access), and re-add the delegate (Ref. Adding Delegate access)
- The delegate: It is recommended that you have signed into Skype for Business on your Windows PC at the same time you are granted delegate access.
Setup Delegation in Outlook
- Log into Outlook and Skype for Business on the PC
- Switch Outlook to Online mode. File -> Account Settings -> Highlight the name and click Change -> Uncheck the ‘use Exchange mode’. Close Outlook and re-open it for the changes to take effect.
- From Outlook, go to File -> Account Settings -> Delegate Access. Highlight the user who wishes to have delegate access (or add the user if not listed).
- Click on Permissions, and choose “Editor” access from the Calendar drop-down list.
- Click OK to exit.
- After adding the delegate to Delegator’s Outlook, sign out and then sign back into Skype for Business.
- Also, the delegate who was granted access, should sign-out and sign back into Skype for Business.
- Please do make sure to enable ‘cached mode’ in Outlook after this change on Delegator’s PC.
What will you see?
- The Delegator (Executive/Manager) should see the Delegate under the group named Delegates in Skype for Business Client once the above is done.
- The delegate should receive a prompt in Skype for Business advising they have been added as a delegate.
Removing Delegate Access
To remove delegate access, ensure both Outlook and Skype for Business clients are running at the same time.
Removing Delegation in Outlook
- Launch “Outlook“
- Go to the “File” menu
- Select “Account Settings“
- Select “Delegate Access“
- Highlight the user you wish to remove delegate access
- Click on the “Remove” button.
Removing Delegation in Skype for Business
Note: Removing the delegate in Outlook does not automatically remove the delegate from Skype for Business.
- On the Skype for Business client
- Go to the “Delegates” Group
- Right-click on the delegate’s contact
- Select “Remove from Group“
- On the Delegate’s Skype for Business Client, the changes would appear per below once the above step is performed.
Scheduling a Skype for Business meeting on behalf
To schedule a meeting that will utilize the collaboration features such as, screen sharing, PowerPoint presentations and whiteboards; the delegate will need to access the executive calendar (at least as ‘Editor’) and Skype Delegation in order to schedule the Skype meeting.
- If you are the delegate, open the appropriate calendar in Outlook
- Select the date and time you want to schedule the Meeting
- Click on the Skype Meeting icon on the top of the meeting bar to generate a unique conference ID.
Other Skype actions on Behalf
- ‘Meet now’ can be initiated on behalf.
- A Skype to Skype call to others can be made on behalf of Delegator which in turn can be modified to the conference by pulling in a few more participants.
